Load-In & Load-Out Schedule

📦 Load-In

Vendor Badge Pick Up

Vendor Badge pick up starts at 2:00 PM – 5:30 PM on Friday Feb. 20, 2026. Badge pick up is located on the 2nd Level, in the lobby between the hotel Check-In desk and the Coffee Shop.

And again at 7:00 AM on Saturday Feb. 21, 2026.

Parking

The Ahern does provide FREE parking, but it is limited. Note: the parking lot does tend to fill up, but there is street parking Cincinnati Ave., which is the street directly behind the Ahern.

Dock/Load In Area

The dock is located on Cincinnati Ave., which is the street directly behind the Ahern. Unfortunately, we cannot assess the dock prior to 3 PM on Friday.

3:00 PM – 5:30 PM
This is the preferred load-in window for vendors who would like to preview their products prior to the show.

Saturday, February 21, 2026
7:00 AM – 9:30 AM
Final load-in window. All booths must be fully set up and ready before doors open to attendees.

📤 Load-Out

Sunday, February 22, 2026
5:00 PM – 7:00 PM

Load-out may not begin before 5:00 PM. Early breakdown is not permitted under any circumstances.

What’s Included With Your Table

Each CollectaVerse vendor table includes:

  • (1) 8-foot vendor table
  • Table covering
  • (2) chairs
  • (2) vendor badges per table

Vendor badges provide access to the show floor during vendor hours and are required for load-in, show operation, and load-out.

If you require additional tables, chairs, or vendor badges, please contact the CollectaVerse team in advance. Additional items are subject to availability and may incur additional fees.

Showcases & Display Requests

Vendors requiring glass showcases or specialty display equipment must submit their requests in advance.

Please submit your showcase needs through the vendor information form or by contacting our team directly.

Note: We are currently negotiating with our showcase vendor. Availability, pricing, and final details will be communicated once confirmed.

Name

Security & Overnight Storage

Overnight security will be present on-site during non-show hours to help monitor the venue.

However, vendors are solely responsible for the security of their merchandise and personal property at all times. We strongly recommend:

  • Securing high-value items in locked display cases
  • Removing especially valuable merchandise overnight if desired
  • Carrying appropriate insurance for inventory and displays

CollectaVerse, event staff, and the venue are not responsible for loss, theft, or damage.

Vendor Badge Pickup & Replacement Policy

Vendor badge pickup instructions will be provided via email prior to the event. Badges must be worn and visible at all times while on the show floor and during load-in and load-out.

  • Each table includes two (2) vendor badges
  • Vendors are responsible for distributing badges to their staff
  • Badges are required for vendor floor access

Lost or misplaced badges may be replaced at the discretion of event management. Replacement may require identity verification and may be subject to a replacement fee. Replacement badges are not guaranteed and availability may be limited.

Vendor Code of Conduct

CollectaVerse is committed to providing a professional, welcoming, and family-friendly environment. All vendors are expected to conduct themselves in a respectful and professional manner at all times.

By participating in CollectaVerse, vendors agree to:

  • Treat attendees, fellow vendors, staff, and venue personnel with respect
  • Comply with all event rules, venue policies, and local regulations
  • Operate their booths in a manner that does not disrupt neighboring vendors or show operations
  • Follow all published load-in, show hours, and load-out schedules

No Early Breakdown Policy

To ensure a positive experience for attendees and fair sales opportunities for all vendors, early breakdown is strictly prohibited.

  • Booths may not begin breaking down before 5:00 PM on Sunday
  • Vendors who violate this policy may be subject to penalties, including:
    • Loss of priority or eligibility for future CollectaVerse events

This policy helps maintain a strong, professional show environment through the final hour of the event.
